Executive Administrative Assistant
Location: Wheaton, IL *Please note, this office will be relocating to West Chicago, IL in April 2020
Hours: Full-Time

Prairie State Legal Services, Inc. is a not-for-profit legal aid organization that provides civil legal aid services to the poor, elderly, and people with disabilities. Prairie State has 12 offices serving 36 counties throughout northern and central Illinois. We focus services on legal problems that impact the ability of our clients to meet their basic human needs, including physical safety, access to healthcare, adequate housing, and similar needs. Prairie State is the only legal aid organization in the majority of our service area. Job Description

This is a full-time position (37.5 hours/week). The Executive Administrative Assistant will work primarily to support the Director of Pro Bono Services in order to maximize the time available for the Director to perform substantive work in leading and overseeing pro bono activities at PSLS. The Executive Administrative Assistant, to a lesser extent, will support PSLS Associate Director, Directors of Litigation, Director of Advocacy Training and Volunteer Services, and Director of Family and Survivor Advocacy in their daily functions.  The Executive Administrative Assistant will have primary responsibility for administrative support for the above listed staff, including:

  • Scheduling and preparing for meetings and other events
  • Internal and external data gathering and organization
  • Working with local offices and special program staff to facilitate communication and organization related to pro bono and volunteer services and special grant projects
  • Handling administrative details for issues that arise within the special grant projects, including compliance monitoring and follow up
  • Tracking progress of development of new or changed internal policies to show those pending and those completed and published
  • Tracking and processing intern and other volunteer inquiries
  • Preparing and distributing correspondence
  • tracking and reporting attorney continuing legal education (MCLE) participation

Qualifications

The ideal candidate will be highly organized, dependable, and self-motivated. Applicants should have:

  • Associate’s Degree or a high school degree with at least five years of relevant work experience
  • Excellent computer skills including proficiency using Microsoft Office Suite and Google Suite
  • Excellent organizational skills and self-motivation
  • Excellent oral/written communications
  • Strong interpersonal skills and the ability to work effectively as a team member
  • Ability to maintain a high-level of confidentiality and thorough knowledge of organization operations, policies/procedures, and people

Moderate travel is required; applicant must have a valid driver's license and/or reliable transportation.

Salary and Benefits

Salary starts at $35,000, higher depending on experience. Excellent comprehensive benefits package including health, dental, retirement, training and education, and generous leave time.
